Public House implementation is a structured, guided process designed to help your team configure and launch your application workflow with confidence.
Most clients complete implementation over a 6–8 week period, moving from initial setup through launch and early system use.
You’ll work closely with our team through a series of working sessions, along with light review and feedback between sessions.
A Phased Approach
Implementation progresses through a series of phases:
- Screening Form Setup – define questions and eligibility
- Application Setup – configure application and requirements
- Documents & Notifications – finalize workflows and reminders
- Testing & Review – validate setup and prepare for launch
- Launch & Early Use – begin processing real submissions and refine
Each phase builds on the previous one, and most teams find that things move more quickly after the initial setup is complete.
How Implementation Works
Implementation is supported through:
Implementation Sessions
Up to 10 working sessions are used to:
- configure your screening form and application
- set up workflows and requirements
- review and refine your setup
These sessions are typically held twice per week during active implementation.
Launch Sessions
After you go live, up to 2 additional sessions are used to:
- review initial submissions
- answer real-world questions
- support early workflow adjustments
These sessions are typically scheduled once per week or as needed, allowing time for real activity in the system between meetings.
Scope of Implementation
Implementation is focused on configuring:
- One screening form
- One application program
This allows your team to establish structure and workflows before expanding to additional forms or programs.
Most teams complete one configuration first, then build additional forms more efficiently as needed.
Screening Forms
Standard implementation includes configuring a screening form within a structured scope, typically up to 30 questions, along with eligibility criteria and refinement through review cycles.
Updates during implementation are generally focused on refining the existing structure, such as:
- wording edits
- answer adjustments
- minor additions
Larger changes — such as significant additions of new questions or structural changes — may require additional support or extended implementation.
What to Expect
- A structured but flexible process tailored to your needs
- Regular working sessions with clear next steps
- Time between sessions to review and gather feedback
- A natural shift from building to using the system as you approach launch
As you get closer to launch, sessions are typically spaced out to allow your team to work with real data and return with more meaningful questions.
After You Go Live
After you go live, the focus shifts from building to using the system.
We’ll use your launch sessions to:
- review real submissions
- answer questions
- help your team refine workflows based on real-world activity
Sessions are typically scheduled on a reduced cadence during this phase, allowing time for activity in the system between meetings and more meaningful follow-up discussions.
After implementation is complete, ongoing support is available through our support team at support@public.house, and additional sessions can be scheduled as needed.
Getting Started
Before implementation begins, please complete the required setup steps outlined in our Implementation Prerequisites.
Training
Training is provided as part of implementation to ensure teams are prepared to manage and operate the system at launch.
Implementation Training (Included)
Training is incorporated throughout implementation sessions with the core project team. When the project team includes staff responsible for processing applications, this provides sufficient hands-on training for day-to-day system use.
Operational Training (As Needed)
When implementation is conducted primarily with technical teams (e.g., IT, Salesforce administrators, or project managers), additional operational training sessions may be scheduled to support staff responsible for processing applications. These sessions may be delivered using remaining implementation or launch sessions, or scheduled as additional services if extended training is needed.
Operational training may also be appropriate for larger teams where broader staff onboarding is required.
Additional Support & Extensions
Implementation is designed to be completed within the included working sessions. Additional support beyond the included sessions may be scheduled as needed, including additional configuration or extended implementation support.
Public House will provide guidance on recommended next steps and any associated scope or pricing for work beyond the standard implementation.
